Advisory Board

 

Chapter advisors advise the collegiate chapter officers on a variety of topics. They are responsible for the supervision of the chapter's affairs as related to Sigma Kappa, the campus, and the community.

The role of the chapter advisor is to guide, advise, and support the chapter and collegiate chapter officers and monitor their progress.

1. Assists chapter officers with the recruitment of advisory board personnel. Working with the collegiate province officer, the advisory board chairman ensures that the newly appointed advisors are properly trained through the scheduling of an Advisors Academy®.
2. Communicates with collegiate chapter officers monthly via letter, phone, visit, or e-mail. Responds promptly to all pertinent correspondence with a copy sent to appropriate personnel, including one copy of all correspondence to the advisory board chairman/collegiate province officer.
3. Understands and follows the provisions of the Panhellenic Constitution and Bylaws, Sigma Kappa Constitution and Bylaws, National Policy Handbook, Ritual Book, and other handbooks.
4. Monitors chapter progress through collegiate chapter reports and minutes. Responds accordingly when needed. Encourages the chapter to submit all reports promptly.
5. Maintains complete and up-to-date files.
6. With the assistance of the collegiate province officer, and national coordinators and directors, facilitates the chapter progress toward the Sigma Kappa Standards of Excellence.
7. Attends advisory board meetings, designated chapter meetings, and functions and ensures advisory board representation at all corporation board meetings.
8. The advisory board chairman updates the collegiate province officer at least monthly via letter, phone, visit, or e-mail.
9. Educates and ensures that the chapter follows all Sigma Kappa national policies, chapter Code of Conduct, procedures outlined in handbooks, and the Sigma Kappa Standards of Excellence.
10. Reviews and approves changes/amendments to the chapter's Code of Conduct.
11. Reports all housing/property issues to the collegiate province officer when unable to address issue locally.
12. Reports immediately the suspicion or occurrence of all risk management violations to the risk management 800 number beeper at national headquarters.
13. May request field consultant visits and other resources from the collegiate province officer to support chapter formal recruitment/CR/informal recruitment, officer training, and other activities.
14. May recommend a national recruitment supervisor.
15. Writes letters of recommendation for applicants of the field consultant program.
16. Keeps an up-to-date procedures manual to pass on to her successor.
17. Shall be a dues paying member of an alumnae chapter.

Specifically, she shall:
• Work with chapter officer(s), helping them gain confidence and experience in decision making.
• Consult with individual officer(s) at least every two weeks in person, by phone, or e-mail. There may be times when the officer will be involved in a major project and more frequent communication will be necessary. At least one of these visits each month should be in person.

Upon contact:

1. Review the calendar as it applies to the officer(s).
2. Discuss upcoming events.
3. Review written reports.
4. Discuss current issues.
5. Update progress on programs in action, review progress of committees under officer(s) direction.

• Attend advisory board meetings, designated chapter meetings, and social events.
• Prepare a written report for advisory board meetings summarizing the accomplishments of the officer(s) advised and upcoming plans. Note issues encountered and include an evaluation.
• Communicate regularly with the advisory board chairman.
• Participate in primary and ongoing officer training.
• Become well acquainted with the National Policy Handbook, Sigma Kappa Constitution and Bylaws, Chapter Advisor Procedures Manual, Sigma Kappa Ritual, the chapter Code of Conduct, and the chapter officer(s) handbook for the officer(s) advised.
